TrueForm Bookkeeping & Consulting ("TrueForm," "I," "me") respects your privacy and is committed to protecting any personal information you share with me. • Standard website analytics data (pages visited, general location, device/browser type) via Squarespace Analytics and Google Analytics
  From engaged clients:

• Contact and business identification details (legal name, business number, address)

• Financial records necessary to perform bookkeeping services — bank and credit card statements, invoices, receipts, payroll data, and related source documents

• Information exchanged in the course of the engagement, including via email or file-sharing tools
  I collect only what is reasonably necessary to respond to your inquiry or to deliver the bookkeeping and consulting services described in your engagement letter.

How Information Is Used and Disclosed
Information collected through the website is used to:

• Respond to inquiries and quote requests

• Schedule consultations and follow up on prospective engagements
  Information collected from clients is used to:

• Perform the bookkeeping, payroll, and consulting services set out in your engagement letter

• Prepare financial records, reports, and filings on your behalf

• Communicate with you, and, where you've authorized it, with your accountant, lawyer, or CRA on your behalf
  I do not sell, rent, or trade personal or financial information. My website is hosted by Squarespace, Inc., which processes website traffic data and form submissions on our behalf securely and in accordance with their own privacy terms.

Information is disclosed only:

• To third parties you have authorized (your accountant, lawyer, financial institution)

• To software providers used to deliver services (e.g., accounting or payroll platforms), under their own confidentiality and security terms

• Where required by law, regulation, or a valid legal process

Alberta PIPA Compliance and Consent
As a business operating within Alberta, TrueForm handles personal information in accordance with Alberta's Personal Information Protection Act (PIPA), the province's private-sector privacy law. Where information handling crosses provincial or international lines, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply.
In line with PIPA's principles, I:

• Collect personal information only with your knowledge and consent

• Limit collection to what is necessary for the stated purpose

• Use and disclose information only for the purpose it was collected, unless you consent otherwise or disclosure is legally required

• Keep information only as long as necessary to fulfill that purpose (see Data Retention below)

• Safeguard information with reasonable security measures appropriate to its sensitivity
  Submitting the website contact form, or engaging my services, constitutes consent to the collection and use of information as described in this policy. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting me using the details at the end of this policy.

Data Retention and Security
Client financial records and related documentation are retained for six (6) years, consistent with CRA record-keeping requirements and the retention terms set out in your engagement letter. Website inquiry information that does not lead to an engagement is retained only as long as needed to respond to you, then deleted.
I take reasonable steps to protect your information, including:

• Storing client financial data in secure, access-controlled accounting and file-storage platforms

• Using a business email domain with standard security protections

• Limiting access to your information to myself, and to any third party you've specifically authorized
  No method of electronic storage or transmission is 100% secure, and I cannot guarantee absolute security. If you have concerns about how your information is stored, please reach out directly.

Your Rights
Under Alberta's PIPA, you have the right to:

• Access the personal information I hold about you

• Request correction of inaccurate or incomplete information

• Withdraw consent to further collection, use, or disclosure, subject to legal or contractual limitations (for example, records I am required to retain for CRA purposes)

• Ask questions about how your information is handled, or file a complaint
  To exercise any of these rights, contact me using the details below. I'll respond within a reasonable time. If you're not satisfied with my response, you may contact the Office of the Information and Privacy Commissioner of Alberta.

trueformbookkeeping.ca uses cookies and similar technologies through Squarespace's built-in platform and, where connected, Google Analytics (GA4), to understand how visitors use the site (pages viewed, time on site, general traffic sources). This information is aggregated and does not identify you personally.
